Northwest Eye has a current opening for a full-time or part-time Medical Scribe at our Maple Grove location.
 
Position Summary:
The Medical Scribe assists the Doctor of Ophthalmology and/or Optometry in accurately documenting the patient exam in Electronic Medical Records (EMR) and ensuring billing documentation has been submitted. The Medical Scribe partners with other clinical staff to ensure an efficient patient flow and quality patient care.
 
Location and Schedule:
This position is based at our Maple Grove location, however some travel is expected to all Northwest Eye Clinic locations (Golden Valley, Children’s West – Minnetonka, St. Anthony, Wayzata, Woodbury).
 
Essential Duties and Responsibilities:
  • Document patient exam in EHR, scribing all elements of the patient exam including contact lens template, procedure orders, e-prescribing medications and scheduling the return to clinic.
  • Provide patient and family counseling/education as needed.
  • Dispense medication and/or over the counter product samples as directed.
  • Print and dispense glasses and/or contact lens prescriptions as directed.
  • Review all chart notes and correspondence daily to ensure accuracy and completeness. Ensure chart documentation meets ICD-10 requirements.
  • Obtain patient signature on consent documents for in lane procedures.
  • Set up exam rooms per provider preference, keep exam rooms stocked and clean between patients; cleaned at end of each work day; assist in maintaining public spaces for professional appearance.
  • Attend trainings and stay current on requirements for Merit Based Incentive Payment System (MIPS) measures, HIPAA compliance and Protected Health Information.
  • Schedule return appointments and/or enter recalls in Electronic Practice Management (EPM) as ordered by the provider, including referrals to outside providers
  • Other duties as assigned.  
Qualifications:
  • High school diploma or equivalent
  • No previous experience required.
  • Great experience for future medical students
  • One year experience within direct patient care or as a scribe in a medical setting preferred
  • Strong communication skills and high level of professionalism
  • Excellent typing skills
  • Reliable transportation

KEY DUTIES AND RESONSIBILITIES 

  • Resolve electronic claim submission errors and rejections
  • Verify patient and insurance eligibility on payer website
  • Review and respond to patient inquires
  • Respond and resolve clinical and front office staff inquires and problems
  • Post insurance remittances by 835 electronic download or through the EFT system
  • Post insurance remittances and/or summaries by data entry
  • Post payments for medical record release
  • Balance insurance receipt batches to reflect payments, adjustments, and billing patient responsibility amounts accurately with completed reports
  • Follow up on insurance denials and rejections from remittance advice or summary
  • Knowledge of claim appeals process to file with appropriate documents and requirements to insurance payer
  • Scan batches to Laserfische (EOB’s)
  • Submission of secondary insurance claims and attachments electronically
  • Audit patient accounts and request patient or insurance refunds in a timely manner
  • Monthly follow up of insurance aging reports to meet or exceed company standards
  • Attends weekly staff meetings
  • Retrieve and follow up on overnight and daytime voicemail messages to business office
  • Other duties as assigned
  • Attends workshops, seminars, and classes to further education and stay abreast of current billing service requirements and changes
  • Participant in billing audits for compliance
  • Maintain current knowledge of coding and medical policy and changes professional billing services

QUALIFICATIONS

SUMMARY
The Information Technology (IT) Director is responsible for leading and managing the IT function across the designated region for all aspects of IT services. Oversight includes planning for IT services necessary to support organization priorities and goals, implementation of new capabilities, project and IT department leadership, support of current operations, and IT system performance and services to meet the operational and team member needs.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Uses knowledge of systems analysis, workflow planning, clinical and business requirements, and translates them into functional specifications and delivery of IT services. IT service functions include telephones, network, server, workstation, wireless, other related infrastructure services and PM/EMR performance.
  • Manages an IT helpdesk and Helpdesk Software system. Acts as escalation point for the IT team and leverages external resources as needed.
  • Manages all software applications, including reporting functions.
  • Manages system integration and data sharing across systems.
  • Leads and develops teamwork across the organization for the design, build, implementation, and support of the electronic medical record and practice management systems.
  • Leads complex implementation projects across multiple departments and multiple locations.
  • Communicates effectively with team and with all levels of team members across the organization; anticipates their needs when possible.
  • Communicates effectively with end users that is timely, provides clarity, and with the ability to translate technical terminology for non-technical audiences.
  • Prepares team members to adopt new workflows and tools and uses change management leadership skills in the execution.
  • Manages operations and contingency planning for IT.
  • Uses evaluation and quality measures to monitor service effectiveness as well as the application of Healthcare IT best practices.
  • Manages service agreements and contracted service providers; communicates effectively with service partners to maintain productive working relationships. 
  • Applies current and evolving IT security standards, applicable privacy laws, HIPAA, and Meaningful Use standards.
  • Works closely with the Revenue Cycle team to ensure performance and workflow are maintained.
  • Fully develops and manages the regional budget with the SVP, IT.
  • Creates a high-performance IT team, including direction and support for IT team and direct reports. Identifies performance issues and seeks resolution.
  • Manages key projects for the SVP, IT and represents IT for CGB meetings.
  • Other duties as assigned. 
 
SUPERVISORY RESPONSIBILITY
This position will manage a team that could include Help Desk, Clinical System Analysts, and System Engineers.
 
JOB QUALIFICATIONS
  • Bachelor’s degree (B.A.) from a four-year college or university.
  • 5-10 years related experience and/or training required with 3 years in a leadership role.
  • Patient care/clinic operations and electronic medical records systems experience a must.
