MN Eye Consultants is currently hiring for a full-time (1.0 FTE) Clinical Assistant position at our Blaine location.
SUMMARY
With accuracy and attention to detail, the primary focus of the Clinical Assistant/Physician Practice Coordinator (PPC) is to manage and be accountable for the assigned Doctor of Ophthalmology’s (MD) practice ensuring successful clinic and surgery days all the while meeting established metrics. The PPC will assist with facilitation of surgeries, procedures and scheduling of return appointments and complete documentation of the patient exam into the patient’s electronic health record (EHR) as directed by the provider. Additionally, the PPC will delegate work to Patient Coordinator (PC) supporting MD accordingly and partners with management to facilitate efficient clinic flow and ensure quality patient care. Starting pay is $23.00-25.00/hour.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage assigned MD’s clinic/laser/surgical schedules to ensure proper flow of appointments and procedures. Monitor encounter volumes, access, and schedule density to ensure providers are on target for budget. Point of contact to manage visitor requests for providers, including necessary correspondence.
- Document patient exam in EHR, scribing all elements of the patient exam including contact lens template, procedure orders, e-prescribing medications and scheduling return to clinic appointment(s). Ensure that coding is complete and charges are captured at the end of the visit.
- Review all chart notes and correspondence daily for accuracy and completeness. Ensure chart documentation meets ICD-10 requirements and referring providers receive proper correspondence and follow up. Ensure all notes are signed by provider within acceptable timeframe.
- Execute special documentation, letters, and other requests with the transcription service.
- Schedule clinic appointments and surgery, including overbooks and other complex scheduling needs, and/or enter recalls in Electronic Practice Management (EPM) as ordered by the MD, including referrals to outside providers.
- Manage schedule requests for urgent appointments and external provider requests.
- Ensure there is a resolution of all patient issues and tasks, making sure to specifically resolve complex issues, and delegate others to PC. Respond to patient inquiries and document concerns in feedback system. Ensure all patient issues are addressed within one business day.
- Counsel/educate patient and family as needed, including the creation of medication grids.
- Run EHR reports at end of clinic and ensure completion of patient documents including but not limited to FMLA, DMV, and disability.
- Complete lens calculations and order implants and/or other items required for surgery, such as medications (compounded or otherwise) and unique surgical supplies and confirm tissue orders.
- Dispense medication and/or over the counter product samples as directed.
- Obtain patient signature on consent documents for in lane procedures. Administer medication during visit and assist in minor clinic procedures.
- Print and dispense glasses and/or contact lens prescriptions as directed.
- Set up exam rooms and treatment rooms for procedures per MD preference. Ensure exam rooms are continuously stocked with appropriate supplies, cleaned between patients and again at the end of each work day, as well as to assist in maintaining public spaces for professional appearance.
- Partner with MD to prepare culture documents, ensure proper storage of specimens, contact lab for pickup, and ensure specimen is in the lockbox for pick up.
- Facilitate new programs, such as procedures, new technology, and drugs, as necessary.
- Manage vendor relationships for those MDs with such arrangements.
- Other duties as assigned.
EDUCATION AND/OR EXPERIENCE
At least three years related experience in a medical office or equivalent education required. Previous experience with EHR systems and ophthalmology/optometry experience highly preferred. Bilingual a plus.

- Facilitate lobby safety and cleanliness as well as cleaning lanyards and badges.
- Comply with established standards and protocols of MEC goals and objectives including compliance with HIPAA and PHI standards and protocols.

Position Summary
This position is responsible for performing measurements and tests that provide the physician with the information needed to arrive at a diagnosis and to prescribe treatment. If you are proficient in manual refraction, starting pay is $25.00-30.00/hour.
Essential Duties and Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Comprehensive knowledge and patient flow expert for Minnesota Eye Consultants’ elective services, such as refractive procedures and processes in order to effectively counsel, educate and schedule patients.
- Respond timely and accurately to patient phone and in-person inquiries.
- Provide an exceptional patient experience during the consultation and pre-operative portion of the LASIK surgery and Advanced Cataract appointments, including but not limited to, proper patient education and counseling, scheduling, and paperwork/payment collection.

High school education with one-two years related experience and/or training or equivalent combination of education and experience with a high focus on customer service, sales, and medical background. 2+ years of Ophthalmology experience preferred.

The Elective Services Consultant works with surgeons, clinic staff members, and patients for growth of the elective service line. The primary responsibility is to educate patients on their elective care options and to increase the number of eligible patients that choose services by providing an exceptional patient experience and subject matter expertise. The Elective Services Consultant works with surgeons, clinic staff members, and patients for growth of the elective service line. The primary responsibility is to educate patients on their elective care options and to increase the number of eligible patients that choose services by providing an exceptional patient experience and subject matter expertise. This individual is an educational resource for patients and is instrumental to the growth of elective services. Elective services include, but are not limited to, LASIK, Advanced Cataract options and dry eye services.
ESSENTIAL JOB RESPONSIBILITIES
Patient Care Coordination
- Provide exceptional personal service and attention to patients during their visit to the clinic.
- Talk to patients over the phone and in person about the benefits of our elective services.
- Explain all paperwork, obtain necessary signatures, and collect payment when appropriate with established protocols.
- Explain the procedures and evaluation process in a manner that prepares the patient.
- Support the evaluation process by problem solving and coordinating the visit, including engaging the surgeon or site manager, as necessary.
- Close the visit with the patient and subsequent workflows, including scheduling the surgery and finalizing the pricing.
- Assists patients with pre- and post-operative preparations for smooth and comfortable surgical experience.
Inquiry Follow Up
- Performs telephone and one-on-one follow-up with prospective patients.
- Counsels patients on the benefits of elective services and follows established protocols regarding access, cost, and process for elective services.
- Use and maintain daily task management system for continuous and accurate follow up of potential surgery patients, from all sources.
- Responsible for assessing patient needs, financial counseling, lead tracking, reporting, and follow up with professional communication.
Patient Scheduling
- Schedule patients for appointments with the surgeons for surgery or evaluation.
- Maintain distribution process of patients to surgeons, as established by protocols.
- Document sales notes for each patient in database system.
- Assist with patient registration, discussion of patient scheduling access, and check-in as needed.
Administrative
- Interact effectively with regional team members, managers, surgery technical staff, surgery schedulers, surgeons, administration, and other members of the management team to assure quality patient care.
- Maintenance of a data base to track follow up calls, emails, and tasks.
- Maintain sales and marketing information and education supplies at clinic sites.
- Fully understand all elective service package details.
- Support staff education on refractive surgery knowledge by participating with in-services and support development of presentations.
- Produce reports from tracking software to meet the needs of surgeons and management.
- Support marketing efforts as needed by organization.
- Contributes to team effort by accomplishing related results as needed.
Other Duties
- Encourage and participate in new aspects and offerings of our elective services.
- Open to collaboration with regional team members and flexibility with changes.
- Provide ideas and suggestions on how process, flow and offerings can be constantly improved.
- Other tasks as assigned.
QUALIFICATIONS
- High school diploma required.
- College coursework preferred.
- Experience in a medical office with extensive patient service experience.
- Experience in ophthalmology or optometry preferred.
- Sales experience preferred.
ESSENTIAL SKILLS AND ABILITIES
- Understanding of ophthalmology terms and procedures, including refractive error, cataracts, MGD, and the anatomy of the eye
- Patient-care focused approach and ability to interact with patients consistently throughout the day.
- Professional communication skills and ability to educate and support patient decision-making.
- Able to clearly document activities in a computer tracking system.
- Organized and can move between multiple tasks while maintaining progress in work and attention to detail.
- Excellent oral and written communication skills.
- Strong organizational and multi-tasking abilities.
