Unifeye Vision Partners is currently hiring for a Back Office Lead, Eastavle, CA.
 
SUMMARY
The Back Office Lead assists the doctors with documentation of the patient exam into the patient's electronic health record (EHR). The Clinic Lead will also assist with facilitation of surgery and procedure scheduling and scheduling of return appointments as directed by the provider. Partners with other clinic staff to facilitate efficient clinic flow and ensure quality patient care.
 
ESSENTIAL RESPONSIBILITIES 
  1. Greet all patients and guests according to company standards, anticipate and address service needs, assist individuals with disabilities, and thank others with genuine appreciation. Treat each patient with respect by greeting them by name, introducing yourself, and ensuring that the patient understands what will happen during the exam.
  2. Document patient exam in EHR, scribing all elements of the patient exam including procedure orders, e-prescribing medications and scheduling the return to clinic. Ensure all entries are accurate by the team. 
  3. Respond to internal communications in a timely manner.
  4. Perform the following as needed: Obtain complete patient histories including chief complaint, past ocular/medical history, family medical/ocular history and history of allergies and medications.
  5. Perform ophthalmologic tests including visual acuity, applanation tonometry, pachymetry, visual fields, corneal topography, OCTs, lensometry, and other tests as directed within the prescribed timeline.
  6. The Lead will monitor and ensure all staff members get a lunch prior to the 5-hour lunch penalty. 
  7. Calibrate diagnostic equipment and perform instrument sterilization as needed.
  8. Provide patient and family counseling/education as needed, including the creation of medication grids.
LEAD RESPONSIBILITIES 
  • Oversee back-office staff workflow to ensure efficient clinic flow including daily review of clinic schedules to meet scheduling guidelines.  Ensure back-office staff work according to established work schedules, including meal and break periods. 
  • Ensure high quality and timely care for patients by reviewing and researching concerns or complaints and recommend appropriate course of action to resolve patient concerns. 
  • Train back-office team members to ensure staff are knowledgeable and proficient in their job duties and clinic flow. 
  • Monitor back-office supplies and place orders timely to maintain adequate supplies.  Ensure purchase of supplies are cost efficient and within established budget.
  • Resolve back-office staff concerns within scope of responsibilities and escalate identified performance or behavior concerns to Manager for follow-up and resolution.  
KNOWLEDGE/SKILLS/ABILITIES
  • Typing and computer knowledge required
  • Previous experience with EHR systems and ophthalmology/optometry experience highly preferred
  • Bilingual a plus
  • Knowledge of medical terminology, Ophthalmology preferred
  • Ability to perform ophthalmic test and calibrate equipment per manufacturer guidelines
EDUCATION AND/OR EXPERIENCE
  • High schedule diploma or equivalent
  • Minimum of one (1) year experience in a medical office as an ophthalmic assistant or technician   preferred.
CERTIFICATES, LICENSES, REGISTRATIONS
  • Medical Technician Certification and Aptitude Test (MTCAT) or
  • Ophthalmic Technician Certification (OTC) strongly preferred.
